ADMINISTRATIVE EXPERIENCE


 


While the vast majority of my career has been spent in procurement, there have been specific administrative tasks that I have been responsible for throughout my working life. Such tasks have included: courteous phone support and greeting and directing Office visitors, quality clerical support, managing all forms of correspondence whether via postal or intercompany mail, fax, email or whatever media the data was received in. Furthermore, I have scheduled countless appointments – especially pre-bid meetings with construction contractors and engineering firms – at most of my former employers. Performing Data Entry is a task of decades in the making.  In addition, having worked on hundreds of projects of various types, I have had strong organization and written and verbal communication skills.


 



From a personal perspective, I am currently semi-retired and seeking a position that will be challenging and quite helpful to an employer. I have a strong work ethic and am not afraid to ‘roll up my sleeves’ in order to accomplish assigned tasks. My experience as presented below has been modified for this specific administrative position.

Accomplishments as Materials Coordinator April 2014 – Present


 



  • Managed the PSE&G Asset Management Database for Inventory Materials Management Department for all Incoming and Outgoing Capital Equipment/ Materials for all capital projects at the Central Substation Spares facility which includes 2 warehouses and 1 staging yard encompassing $35MM-50MM of inventory

  • Utilized SAP MM and packing lists to build a detailed database including use of Inventory Control System procedures, Excel and Word; introduced to Access Nov 2015

  • Executed shipping memo transfers from warehouse to job sites; managed general materials lifecycle for FIFO

  • Arranged job site meetings with project teams to inventory leftover materials from completed projects; Provided a comprehensive list to the project control engineering manager who distributes the list to several dozen DP&C project managers for their review with the goal to avoid duplicate purchases and expedite material transfers efficiently between closed projects/ upcoming projects

Accomplishments as Buyer June 2012 – March 2013:


 



  • Prepared RFPs packages complete with pertinent drawings, SOWs and specs in Power Advocate, processed POs & Change Orders in SAP MM and Contract Amendments in SharePoint for Environmental Remediation for 3 business units: environmental consulting, recycling / disposal and the remediation of contaminated and non-hazardous soil and water from over 40 former PSE&G gas sites throughout New Jersey utilizing 45 multi-year contracts [since existing contracts were already in place, no negotiations were held]

  • Utilized MS 2010 [9/12 thru 3/13] and MS Office Professional 2003 [6/12 thru 9/12]


 


Contract Duties:


 



  • Developed initial contract documents and forwarded to the legal and risk management departments for review and final document preparation prior to final document submittal to the appropriate suppliers

  • Interfaced with cognizant internal clients including DP&C, Environmental Remediation and former Gas Works personnel to identify most appropriate vendors for particular environmental responses


 


Accomplishments as Procurement Analyst Jan 2010 – May 2012:


 



  • Managed Indirect Procurement activities for over one dozen major, multimillion dollar EPC capital projects which all expand the Electrical Transmission capabilities for one of the largest utility companies in the USA for both capital projects and Stimulus programs for Electric field operations

  • Managed Approved Supplier Database and updated as necessary whenever changes occurred

  • Performed vendor management of existing, or cultivated potential new vendors / suppliers as required

  • Sourced approved service providers and Arranged / Conducted the commercial portion of pre-bid meetings with contractors, engineering firms and internal teams at jobsite locations

  • Initiated a new contract / project files for each supplier per project or specific task-related activity

  • Upon receipt of documentation from the DP&C project teams, uploaded drawings, specs and SOWs into the Power Advocate system for RFP solicitations to approved construction contractors and Engineering firms

  • Participated in the development of original contracts for projects by gathering data and uploading the information into the ECM system for review and approval by the Legal, Risk Management and Tax departments

  • Once RFPs were submitted and proposals received, prepared bid summaries; Analyzed and Evaluated pricing and counter offers and/or exceptions and Negotiated with contractors / engineering firms; Gained significant experience in business acumen and technical writing skills as a result

  • Upon release by Legal, submitted contracts to suppliers for their review and approval / signature and uploaded these documents into the SharePoint system; Processed POs and C/O’s in SAP MM module

  • Presented Blanket PO program to management which reduced processing costs as well as saved time and efforts for both the Engineering and Purchasing departments [went from zero to over 100 annual contracts]

  • Restructured and standardized RFP / Sourcing format for capital project and construction work which resulted in obtaining more information for internal evaluations; Issued new construction, plant upgrade and maintenance contracts for various trades for end use for new or ongoing clinical and R&D projects

  • Revised internal order forms for cell phones and office furniture which forced users to be more accountable to their department management for Targeted / Budgetary purposes
